Starting point
Short-notice changes often end up with just a few planners: calls, notes and messages about who can swap and who needs time off. Employees don’t always see their current plan where they work.
Teams can handle a lot themselves if they know the framework: which tasks are pending, which qualifications are needed and which rules apply.
How Hawk IVO helps
- Mobile app: Employees see their shift schedule, submit absence requests and use the chat.
- Shift swaps: Swap requests go through the software instead of word of mouth and paper notes.
- Approvals: Absence requests reach the people responsible through approval processes.
- Self-organization within a framework: In the work interface of Hawk IVO Plan, teams choose tasks themselves, while planning sets the orders, qualification requirements, rules and capacities.
Documented scope
In the BMBF research consortium agileASSEMBLY, Hawk and IMS Gear tested a digital planning board in assembly where employees choose their own tasks and the software checks qualifications in the background. A pilot group of 40 employees trialed it, the project received an award in 2025, and building blocks from it are now part of Hawk IVO Plan.
Prerequisites
Self-organization needs up-to-date data on orders and qualifications, a simple interface for the team and named people responsible for clarifying deviations.
