Starting point
Where work goes on around the clock, the shift plan is more than a list of names. Every shift needs enough employees with the right qualifications. Vacations, illness and training change the situation constantly. On top of that come rules from the shift system, working time regulations and works agreements.
As long as a small team plans within a stable shift system, a spreadsheet is often enough. Once several areas, qualifications and short-notice changes come together, the quality of the plan depends on the diligence of individuals.
How Hawk IVO helps
- Shift system and requirements: Hawk IVO Plan maps shift system groups and the shift requirements for each area and assigns employees automatically.
- Qualifications: The qualification matrix shows who is allowed to perform which activity; planning takes this into account when filling shifts.
- Absences: Vacation requests, absence types and the plant calendar feed directly into the plan.
- Same-day changes: Shifts can be adjusted by drag and drop, shift swaps are part of planning, and employees see their current shift schedule in the mobile app.
- Visibility: Hawk IVO Plan shows planners and teams the current plan for their role.
The software proposes a staffing plan; the decision stays with the people responsible.
Documented scope
At OXEA’s Werk Ruhrchemie site in Oberhausen, the plant plans its shifts with Hawk IVO Plan instead of in isolated Excel spreadsheets. The software matches the requirements of the facilities with employees’ valid qualifications and certificates and is used in several areas of the plant.
Prerequisites
To get started, you need the shift system, the areas with their requirements and your employees’ qualifications. Master data can be imported from SAP and other ERP systems.
